Important information:
• Completion of the Course Approval Summary Form is required before departure.
• Grading options do not need to be decided by mid-term.
• All courses taken abroad must be approved.
• Submit the Course Approval Summary Form to: 3300 DCL.

To your Course Approval Summary Form, scan and email your completed form to ipeng@illinois.edu.

General Education Course Approval Instructions

  1. Print the course description/syllabi for each course you need to get approved.
  2. Attach the course description/syllabi to the Course Approval Summary Form.
  3. After all of your other courses have been approved and you and your Department Study Abroad Advisor have signed the Course Approval Summary Form, bring it to the IPENG office with all attachments.
  4. Indicate in column #9 the usage you are requesting (LE or F). The IPENG Director will review the courses and determine if the courses can be approved for the usage you are requesting.
  1. Print the course description/syllabi for each course you need to get approved.
  2. Take the course description/syllabi to the appropriate Study Abroad Course (299) Advisor (ex. if you need a History course approved, go to the History Study Abroad Course (299) Advisor). View a complete list of Study Abroad Course (299) Advisors.
  3. The Study Abroad Course (299) Advisor will determine the Illinois course equivalent for the course you are getting approved. If there is not a direct Illinois equivalent, the Study Abroad Course (299) Advisor will indicate the level of the course. (ex. HIST 2--).
  4. After all of your courses have been approved, you and your Department Study Abroad Advisor should sign the Course Approval Summary Form.
  5. Bring the completed form and all attachments to the IPENG office.
  6. Indicate in column #9 the usage you are requesting (H, SS, NW, W). Based on the approval and course equivalency from the Study Abroad Course (299) Advisor, the IPENG Director will determine if the course can be approved for the usage you are requesting.
  7. If additional information is needed, you will be notified by email.

Course Approval Instructions

Important Note: This webpage is for students enrolled in the College of Engineering that are studying abroad on a pre-approved program. You must follow the instructions that correspond to the college to which you belong during your study abroad term(s).

Please keep in mind that students studying abroad shall be considered full-time at the University of Illinois at Urbana-Champaign when they are registered for at least the minimum full-time academic load as defined by the international institution, but equivalent to 12 Illinois hours. However, students receiving financial aid must be sure to bring back the minimum number of required hours related to their particular financial aid, for example 15 Illinois hours for MAP Grant Students.

Fill out the information that is requested on the top portion of the Course Approval Summary Form. It is your responsibility, as the student, to neatly and accurately print this information (it is not the responsibility of Illinois Abroad & Global Exchange or your academic advisor).

Instructions for Columns

Follow instructions in the order below. Columns requiring information from you should be completed prior to meeting with advisor.

Completed by the student

List the title and number of the courses offered at your host institution abroad. You may find information on course offerings for your particular term(s) abroad on the host institution’s course catalog. A link to this site can be found on the Program Brochure in My Study Abroad.

It is important that you list the courses in the exact wording used by the host institution and it is important to list the subject and number of the course abroad (if available, i.e. AUST 2022 Australian Studies).

Completed by the student

Check the Course Approval Database to see if the courses have received prior approval.

For a listing of previously approved and taken study abroad courses:

Students enrolled in the College of Engineering must take all of their courses abroad for CR/NC. No grades will be transferred. The only exception to this is if the course is being used for a requirement (i.e., second major or minor) outside of Engineering. These courses may be taken for grade (and will be counted in your GPA) and must be approved by that department’s Study Abroad Course (299) Advisor.

To determine if students passed their courses, all foreign transcripts must include the grade for each course and numbers of credit hours.

Important notes:

  • Any non-COE minor courses taken abroad must be approved by department offering minor.
  • No advance comp. may be completed abroad.

Bottom of Form

  • Comment section: use of this section is to be determined by the Approved Study Abroad Course (299) Advisor (also see instructions for Column #7).
  • Academic Advisor signature: Approved Dept. Study Abroad Advisor for your department (refer to list below). You must have both the printed name and the signature of the advisor, in addition to each individual course approval signature in column 7.
  • Student signature: this form will not be considered complete without your (the student’s) signature.
  • College approval: this signature must be from the IPENG Office designee in Room 3300 Digital Computing Lab (DCL).

Final Instructions

After signing your Course Approval Summary Form, you must return your signed Course Approval Summary Form (with attachments) to the IPENG Office, 3300 Digital Computing Lab (DCL). No forms will be accepted if not signed by the Approved Dept. Study Abroad Advisor of your department.

You must obtain approvals for all courses taken abroad. If the courses that were pre-approved do not match the courses actually taken abroad, you must obtain approval for all additional courses upon your return.
